Job Description

Job Summary
As an Executive Assistant to the Managing Partner, the candidate will provide high-level administrative and operational support while managing executive schedules, communications, meetings, correspondence, reporting, and daily coordination activities. The role requires a highly organized, proactive, and detail-oriented professional capable of preparing, maintaining, and following up on company reports, business summaries, operational updates, and management presentations with accuracy, confidentiality, and professionalism. 

Key Responsibilities
Executive & Administrative Support
•    Manage managers daily schedule, meetings, appointments, and travel arrangements 
•    Coordinate internal and external communications on behalf of the manager 
•    Prepare reports, presentations, summaries, and meeting notes 
•    Follow up with department heads and ensure execution of action points 
•    Screen calls, emails, and requests while prioritizing urgent matters 
•    Organize confidential documents and maintain proper filing systems 
Business Coordination
•    Liaise with suppliers, clients, banks, consultants, and partners 
•    Coordinate with accounting, purchasing, operations, HR, and logistics teams 
•    Support the manager in strategic projects, expansion plans, and operational follow-ups 
•    Track deadlines, payments, licenses, contracts, and renewals 
Personal & Family Assistance
•    Assist with selected personal errands and family coordination 
•    Manage personal appointments, reservations, and schedules for the manager and family when needed 
•    Coordinate travel, events, gifting, and household-related arrangements 
•    Handle highly confidential personal matters with absolute discretion 
Communication & Representation
•    Represent the manager professionally in meetings and communications 
•    Maintain strong relationships with clients, suppliers, and stakeholders
•    Ensure smooth information flow between the manager and different business units

Qualification
•    Bachelor’s degree in Business Administration, Management, or a related field
•    Minimum 2–4 years of experience as an Executive Assistant or in a similar role
•    Strong proficiency in Microsoft Office
•    Strong organizational, reporting, and communication skills
•    Ability to multitask, prioritize, and work under pressure
•    Experience in manufacturing or food processing industries is a plus
