Job Description

Human Resources & payroll:

Daily:

  • Preparing the daily attendance report and referring it to each HOD/ Assistant Manager.
  • Assist in preparing schedules for interviews/ call candidates /send location/reconfirmation.
  • Posting jobs on job portals (Lebanon Ta3mal, Hunting Lebanese, ...).
  • Screening CVs and sending them to the concerned party always including the GM.
  • Contacting candidates to schedule interviews while coordinating with the HOD and the GM.
  • Contacting training agencies and getting different outlines and quotations.
  • Sending reminders to training attendees.
  • Keeping track of the trainings on the HR system and making training leave requests accordingly, putting the QMSO in the loop.
  • Filing CVs, employees’ personal information, job descriptions…
  • Preparing memos, warnings, resignation letters, work certificates…
  • Occasionally register all kinds of requests in the HR system (BT, Recuperations…)
  • Preparing all kinds of HR reports from the system.
  • Entering new employees into the system.
  • Coordinate with accounting on employee information in the payroll system.
  • Set probation period dates on the HR system.
  • Entering the punching of new employees on the machine as well as on the HR system.
  • Fill out the insurance work accident form for the injured employees.
  • Assisting in onboarding new employees (HR system demo).

 

  • Monthly:
  • Prepare schedule 100 report.
  • Prepare dailies report.
  • Check the Unjustified Leaves report.
  • Check absences report.
  • Prepare Bycop/Lanaz attendance.
  • Double checking Over times in the HR system.
  • Clear Unjustified leaves if payroll is on the last day of the month.

Yearly:

  • Open new year on the HR system
  • Copy public holidays to the HR system
  • Check employees’ leaves and balances

 

Administration Tasks:

  • Answering phone calls, taking messages, and/or transferring to proper departments
  • Sending emails to stakeholders as requested by management and distributing incoming emails to different departments
  • Organizing all administrative filing (hard and soft copies)
  • Sending and receiving couriers and keeping a record of it
  • Making travel (bookings, visa applications…) and hotel arrangements for staff
  • Greeting clients/ suppliers/ visitors to the organization in a professional way
  • Following up on stationery stock for the administration floor
  • Assisting the CEO with all his meetings, reminders, couriers, typing, printing…
  • Arranging meetings invitations through Outlook
  • Assisting in preparing for all company events
  • Any other miscellaneous administrative tasks
